Approvals

Nothing posts until it is approved. Approvals decide who says yes, in what order, and what happens after the last yes.

Asking for approval

In Create, the main button names the first approver: "Ask Ivo to approve". On a draft's page, Ask for approval does the same; after changes were asked for, it says Ask for approval again.

If you picked a time in When to post, it travels with the request. Approvers see it ("asked you · for Wed 09:30"), and the post is scheduled for it, or put in the queue, the moment the last approval comes in.

Who approves

An owner or admin sets this in Settings → Approvals.

  • Anyone who can approve: the first approval is enough.
  • These people, in order: each approves in turn, and the post waits for all of them. Drag to change the order, or press the up and down arrow keys on a person's handle. Only people whose role can approve can be added; give someone that role on Team first.

Removing an approver, or going back to anyone, asks first and says where the posts waiting for that person go. Someone who is a named approver can't be removed from the workspace, or leave it, until they are taken off the list.

Team shows the order in one line: "Approvals go to Ivo, then Maya".

Named approvers come with Team and up. On Solo, an order set before keeps working, so no post is left waiting, but it can't be changed, only set back to anyone.

Approving a post

When it's your turn, the post is under Needs you on Home, under Approvals in Inbox, in your email, and in Slack when your workspace has it.

Open the post. Its page shows each channel's preview, the time it asked for, and the approval steps in order: who asked and when, who has approved and when, whose turn it is now, and what happens after.

  • Approve: the post goes to the next approver, or, after the last one, is scheduled for the time it asked for. If it asked for no time, it waits on the Plan as approved. You can add a short note first; it shows on your step, as in "Ivo approved · Love it".
  • Ask for changes: you must say what should change. The note is pinned on top of the post, and it goes back to whoever wrote it. The approvals so far start again when it is sent back for approval.

If it isn't your turn yet, the page says whose it is, and Approve isn't offered.

On a phone the post's page has three tabs: Post (the words, the channels and when it goes), Preview (how each channel shows it) and Activity (the approval steps and the conversation). When the post is waiting for approval it opens on Activity, where Approve is.

Every approval and every send-back is also in the audit log, as "Ivo approved Autumn menu launch" (see Security).

Versions

The post's Versions tab keeps the latest 30 saves that changed the title, the text or the channels. Each says who wrote it and until when it was current, and what changed. Pick one to compare it with the next, side by side; while the post is a draft, Restore makes that one the newest version, and nothing is lost.

Approving many at once

In Inbox → Approvals, Your turn comes first, with late ones marked Overdue; then Waiting for others, with whose turn it is and whether a client link is out.

Choose Select, tick up to 50 posts, and Approve them together, or Send back with one note for all. Posts waiting for someone else can't be chosen. Approving many at once comes with Team and up.

Talking about a post

The post's page has the conversation.

  • Comment on the post, or on one picture: choose the picture before you send.
  • Type @ and a name to mention someone; they're told.
  • Internal note is for the team only and never posted.

Comments and mentions come with Team and up. On Solo, comments made before stay on the post; the internal note is on every plan.

Reminders

In Settings → Approvals, Remind after 4, 8, 12 or 24 hours, or 2 or 3 days nudges the approver whose turn it is, once per turn. Late approvals are marked Overdue in Inbox. Reminders come with Team and up; on Solo they are off, and the time chosen before is kept for a bigger plan.

Your client's approval

A client can approve without an account.

  1. On the post's page, while it is in review, choose Share with client. A private link is made and copied.
  2. Send it to your client however you like.
  3. They see your workspace's name, and its logo if you added one and your plan is Agency or bigger; the post as each network will show it; when it is planned; and Approve or Ask for changes, which needs a note.
  4. After they answer, the page says thank you, and offers your shared calendar if you have one.

Your client's answer shows on the post's approval steps ("Your client approved · Client link"). A note they send back is pinned on the post, and the post goes back to its writer.

Your team still has the last word. A client's yes doesn't post anything: the post is approved once your approvers have said yes too. If your last approver says yes while the client hasn't answered, the post waits for the client.

To stop a link, choose Stop the client link from the post's menu. An owner or admin can turn client links off for the whole workspace in Settings → Approvals; while they are off, no new link can be made and the ones already sent don't open.

Client links come with Team and up. On Solo, links already sent keep working, so no post waits for ever, but new ones can't be made.

After the yes

An approved post can't be edited, so what goes out is what was approved. To change it, Duplicate it, edit the copy and ask again. Unschedule on its page takes it off the Plan and keeps it approved.

Approving your own posts

If no one else is set to approve and your role can approve, you approve your own posts: Create's main button schedules, adds to the queue or posts now.
