Move your team’s plan off the spreadsheet

Your next posts imported in one go, the team invited with its roles, and a yes on each.

Updated

Many teams start with a spreadsheet of posts and a group chat for the yes. Moving over is five steps: bring the posts in, bring the people in, decide who says yes, then give the posts their channels and times.

1. Save the sheet as a CSV

Keep the posts you haven’t sent yet, one per row, with a title and a text column. An intent column is optional: feed, reel or story. Google Sheets (File → Download), Excel (Save As) and Numbers (Export To) all save a CSV file.

2. Import it

Open Create and choose Import a spreadsheet. Up to 200 posts come in at a time. If one row is wrong, nothing is imported and the row is named, so you fix it and try again. Imported posts arrive as drafts with no channels or time.

3. Invite the team

On Team, choose Invite people, type their email addresses (separate several with commas or new lines) and pick a role: an Editor writes and schedules, a Reviewer approves, an Admin runs the workspace day to day. Each gets an email with a sign-in link; nobody needs a password.

4. Decide who says yes

In Settings → Approvals, choose Anyone who can approve or These people, in order. The yes that used to get lost in a chat now sits on the post, with who approved and when. Set up a social media approval process your team will use goes through each choice.

5. Give the posts their channels and times

Connect your channels, then open each draft, pick its channels and pictures, and send it for approval. Approved posts wait under Unscheduled beside the calendar, and Fill the queue places a week of them in your queue times. Plan a week of posts in one sitting shows how.

When someone still wants a spreadsheet

Insights exports a CSV of every post in the period, with its results, for anyone who still likes rows and columns.
